Registration and Rates

What are the rates for the conference?
The individual registration fee for Exchange 2017 is $1,795; however, if you register before July 31st, you will receive a $200 early bird discount. Early Bird discount may not be combined with any other promotion or discount.

Are group discounts offered?
Yes, group discounts are also available. Starting on August 1st, if two or more registrants from your organization are planning to attend, each person can receive a $100 discount on their conference admission (cannot be combined with any other discount).

Please email Dana Janosek prior to registering to receive a promotional code for your company. You can forward the promotional code to anyone in your company so that they can receive the $100 group discount.

Who can I contact if I have problems registering online?

What methods of payment are accepted for registration and related fees?
We accept Visa, MasterCard or American Express. Your card will be charged upon completion of your registration. If you would like to be billed later, please e-mail Dana Janosek or contact us at +1 866 912 7313 from 8:00 AM - 5:00 PM CDT (2:00 PM - 11:00 PM GMT).

I can only attend one day of the conference - is there a single day price?
We apologize, but there is only the four-day package available for this conference. The event has been carefully structured to optimize participant's time to achieve maximum learning value.

How do I change my registration?
To make a change, access the confirmation email you received after registering. Copy the confirmation code provided to you in the email and click on EDIT MY INFORMATION. Paste the confirmation code in the box and make any edits by clicking on the EDIT MY INFORMATION link on the right-hand side of the screen. To add/remove sessions, follow the steps above, then click on the BUILD MY AGENDA link on the right-hand side of the screen.

What is the conference cancellation policy?
The cancellation policy is as follows:

  • Over 30 days (before September 22) - Full refund
  • 14 to 30 days (Between September 22 – October 9) - $200 penalty
  • 14 days or less (After October 9) - No refund

Conference Sessions

I am not sure what sessions to sign up for. Who can provide guidance on appropriate subjects for me to consider?

What are Flash sessions?
Structured to be interactive, Flash sessions are information-packed 20 minute sessions designed to give a brief introduction to a new solution or a quick update on a topic of interest. Flash sessions do not qualify for CPE credit and you do not need to register for Flash sessions – just show up.

What if the course I want to take is full?
You can place your name on a waitlist and you will receive an email if a class opens up or when a seat is confirmed for you. You may also check for last minute cancellations on site.

Will I be able to change my schedule once I'm on site?
You have a couple of options. You can stop by the registration desk for assistance, or use the ExchangeXtra mobile app to update your schedule on the fly. Sessions do fill up, so we recommend creating your agenda when you register for the best selection of offerings.

I cannot attend the conference; can I buy transcripts from the event?
Due to the nature of the conference and the potential for sensitive discussions to occur, sessions will not be taped or recorded for purchase or distribution.

How many CPE credits can I earn at Exchange?
You will have the opportunity to earn up to 24 CPE credits.

What is the room rate for the hotel?

Vertex has blocked rooms for the 2017 Exchange Conference at the Sheraton San Diego Hotel & Marina. The rate per night is $219 plus 12.695% tax for single/double occupancy as well as a $10.00 per day resort fee. The room rate includes in-room high speed internet access, local and long-distance phone calls, access to the hotel's tennis facility, and a one-hour bicycle, kayak, or stand-up paddleboard rental per day.

Please note: Hotel Reservation Deadline – September 22, 2017 by 5:00 PM CDT - In order to guarantee a hotel room and receive the group rate of $219.00 per night, hotel reservations must be made by 5:00 PM CDT September 22, 2017. After this date, room availability and/or group rate cannot be guaranteed.

A credit card deposit is required by the hotel to hold a reservation. The Sheraton San Diego Hotel & Marina will charge your credit card for one night's room deposit of $219 (plus taxes) 5 days prior to your arrival.

Note: The credit card on file during the check in process will be authorized for $200 towards incidentals. This is separate authorization from the room and tax charges.

Q: Who do I contact if I need to change or cancel my hotel reservation?
Hotel policy requires you provide at least 72 hours notification in the event you need to reduce the number of nights reserved.

If you need to cancel your hotel reservation completely, notification must be received 72 hours prior to your scheduled check-in date. Hotel reservations cancelled less than 72 hours prior to arrival may not be refundable.

How much does parking cost at the hotel?
Parking is available at the Sheraton San Diego Hotel & Marina at a rate of $32 per night for self-parking and $37 per night for valet parking.

Can I extend my hotel stay beyond the conference block of Thursday, October 26?
Enter your request in the special request field of the hotel reservation and we will respond within four business days.

Can I stay at other hotels?
There are no restrictions; however, customers have found being at the same hotel as the conference and other attendees beneficial. We encourage you to stay at the Sheraton San Diego Hotel & Marina and have negotiated a discounted rate for conference attendees.

Is airport transportation provided?
No, you must secure your own transportation. The hotel provides a complimentary hotel shuttle that runs every 25 to 30 minutes between the airport and the Marina and Bay Towers. Taxis are available outside Sheraton San Diego Hotel & Marina. Cost will be approximately $8 plus tip.

Are group airfare discounts offered?
No, we have found the most cost-effective method for securing airfare is to make your own travel arrangements.


General Information

What is the purpose of Vertex Exchange 2017?
Vertex Exchange 2017 is your opportunity to learn the latest tips and tricks for your Vertex product, explore new solutions from Vertex, engage Vertex subject matter experts and our consulting alliances, and network with other tax and IT professionals.

Will I have an opportunity to meet with product experts at the conference?
Absolutely. Representatives of our product management team will be on-site at the conference. Vertex subject matter experts can always be found at the Vertex Resource Center. Attendees also have the opportunity to schedule a one-to-one meeting with Vertex professionals and conference sponsors during the registration process, or any time leading up to the event.

Are there groups of customers with common interests (i.e. special interest groups) who meet during the conference?
Yes, there will be four Special Interest Group sessions dedicated to Retail and Leasing industries and Oracle R12 and SAP users. Additionally, our meal times will provide opportunities to meet folks from similar lines of tax and industries.

What is the dress code?
The dress code for all conference activities is business casual. The average high temperature in San Diego during October is 72°F.

What is the conference policy on bringing families? Are there activities for my spouse/family?
Families and guests are welcome to accompany you on your trip, but please understand the conference events are of a business nature and not suitable for children.

You can register to bring an adult (21 and over) guest to a networking event (fees apply). We are also hosting a group event at the USS Midway Museum on Tuesday, October 24th. If you would like to bring a guest with you, there is a $125 charge for them to attend.

What do I need to know about the Hepatitis A outbreak in San Diego?
Recently, San Diego has been in the news due to a rise in the number of cases of Hepatitis A. The health and safety of attendees is very important to us and we have confirmed with our venue hosts that they are aware of the situation and taking appropriate safety measures.
